Agreement to Terms
By booking any expedition or service through To Kilimanjaro, you agree to these Terms and Conditions. These terms apply whether you book directly through our website, via email, phone, or through authorized travel agents representing our services.
Booking and Payment
Booking confirmed upon receipt of 30% deposit, due within 7 days of invoice. Full payment required 30 days before departure.
Payment methods (all in US Dollars):
- International bank transfer
- Credit cards (Visa, Mastercard, Amex) – 3.5% processing fee applies
- Other methods as mutually agreed
All bank charges, wire fees, and transaction costs are your responsibility. If we receive less than invoiced amount, you pay the difference. Late payment may result in cancellation with standard fees applied. Contact us immediately if delays anticipated.
Cancellation Policy
Written cancellation notice required. Fees apply: 60+ days (10%), 30-59 days (30%), 15-29 days (50%), 7-14 days (75%), under 7 days (100%). Comprehensive travel insurance strongly recommended.
Travel Insurance
Travel insurance is mandatory for all Kilimanjaro climbs. Your policy must provide comprehensive coverage including:
- High-altitude trekking coverage up to 6,000 meters for Kilimanjaro
- Emergency helicopter evacuation and air ambulance
- Medical expenses and hospitalization
- Trip cancellation and interruption
- Lost or delayed baggage
- Personal accident and repatriation
Proof of insurance is required before the expedition begins. Without adequate coverage, we may refuse participation. Understand your policy coverage and ensure it meets your adventure requirements.
Health and Fitness Requirements
You must be physically fit for Kilimanjaro expeditions. Medical questionnaire may be required. Disclose all pre-existing conditions at booking. Guides may discontinue climbs for safety reasons without refund.
Travel Documents and Visas
Passport must be valid for six months beyond entry with two blank pages. You must obtain Tanzanian visa before arrival. We provide guidance but accept no responsibility for entry denial due to documentation issues.
Authority of Our Guides
Our guides are professionally trained and certified by KINAPA and Tanzania Tourist Board. You must follow all safety instructions at all times.
The lead guide has final authority on route selection, pace, safety decisions, and emergency protocols. If they determine continuing poses risks due to health, weather, or other factors, their decision to descend is final. All guides are trained in wilderness first aid and altitude sickness recognition.
Equipment and Personal Gear
Personal climbing gear and clothing are your responsibility. Detailed packing list provided upon booking. Equipment rental available at additional cost. All group camping equipment included in packages.
Accommodation
Packages include accommodation as specified in your itinerary, typically twin-sharing. Single supplements available at extra cost. Alternative accommodation offered if preferred hotel unavailable.
Itinerary Changes
We may modify itineraries due to weather, park regulations, safety concerns, or circumstances beyond our control. Suitable alternatives provided when necessary. No refunds for voluntarily discontinued tours.
Pricing
Prices valid 14 days from quotation date. Subject to change if government increases park fees or conservation charges. You’ll be notified of changes before booking confirmation.
Liability and Assumption of Risk
Climbing involves inherent risks. You participate at your own risk. We maintain comprehensive insurance but are not liable for injuries, illness, or loss beyond our control, or for third-party services including airlines and hotels.
Lost or Damaged Property
Not responsible for loss, theft, or damage to personal belongings. Valuables can be stored in our office safe. You’ll be charged for willful damage to our equipment or property.
Images and Marketing
By participating, you consent to use of expedition photos/videos for our marketing purposes. Notify us to opt out
Force Majeure
Not liable for failure to perform due to circumstances beyond control, including natural disasters, political instability, pandemics, or government actions.
Complaints
Inform your guide or our office immediately of any concerns. Written complaints should be submitted within 14 days of trip completion.
Governing Law
These Terms and Conditions are governed by the laws of the United Republic of Tanzania. Any disputes will be resolved under Tanzanian jurisdiction.
